RevisitCare blog cover: Last-Minute Grooming Cancellations: A UK Salon Refill Checklist

Short answer: You cannot stop every last-minute cancellation, but you can refill most of them. Set a clear notice policy, keep a list of clients who have asked to hear about gaps, and message the first few the moment a slot opens. The checklist below has 10 points in three stages: before, during and after a cancellation.

Why does a late cancellation hurt a grooming salon so much?

A groomer sells time. A two-hour slot that sits empty on Thursday afternoon cannot be sold on Friday, and the groomer's wages and the salon's rent do not shrink to match. The earlier you hear about a cancellation, the more of that time you can recover, so the checklist starts with getting notice and ends with refilling the slot.

The refill checklist

Stage 1: before a cancellation happens

  1. Write a notice policy with a number. Published UK salon policies often ask for 48 hours' notice, with a charge of 50% of the groom for later cancellations, and some charge 100% for no-shows. Pick a notice period you will enforce, and state the consequence in plain words.
  2. Show the policy at booking. Put it in the booking confirmation as well as on your website, so a client cannot say they never saw it. A deposit or card on file backs it up, especially for new clients and repeat late cancellers.
  3. Confirm every booking 48 hours ahead. Send one message with the pet's name, date and time, and two options: confirm or reschedule. Clients who cannot come will often say so at this point, which gives you two days to refill instead of two hours.
  4. Build the rebook list. At checkout, ask clients whether they would like first call on a gap. Record their name, dog, breed and size, the days they can do at short notice, and the date and channel (text or WhatsApp) they agreed to. No consent record, no message.

Stage 2: when a cancellation lands

  1. Match the slot to the dog. Work out how long the slot is and which dogs fit it. A big dog that needs a full groom cannot go into a 45-minute gap, so filter your list by size and service.
  2. Message the first three at once. Do not message the whole list, or you will double-book. A good message is short: "Hi Sam, a 2 pm slot has opened today for Biscuit. Reply YES to take it. Reply STOP to leave this list."
  3. Hold the slot for 20 to 30 minutes. The first YES gets it. If nobody replies, move to the next three.
  4. Confirm in writing and update the calendar. Send the winner a confirmation, then tell the others the slot has gone, so they are not left waiting.

Stage 3: after the day

  1. Apply your policy the same way every time. Charge the fee you promised, and write down the few exceptions you allow, such as a sick dog. Consistency stops arguments and keeps regulars from testing the rule.
  2. Review once a week. Count the numbers in the table below. If refills are low, the problem is usually the list, so spend a week adding clients at checkout.
Number to trackWhy it matters
Cancellations with less than your notice periodShows how often the policy is tested
Slots refilled from the listShows whether the list works
Minutes from cancellation to refillFaster refills mean fewer empty hours
Clients who cancel late more than onceCandidates for a deposit

What do the UK messaging rules say?

This is not legal advice, so check the ICO's guidance for your own case. The ICO says appointment reminders are normally service messages, not direct marketing, as long as they only give administrative information and carry no promotion. Add an offer and the message becomes direct marketing, which needs the client's consent or a valid soft opt-in. An offer of a free slot is promotional, so only send it to clients who have agreed to join your list, and include a way to opt out in every message.

If you send through the WhatsApp Business Platform, Meta may also treat a slot offer to someone with no booking as a marketing message, which is charged at a higher rate. Our post on Meta's October 2026 price change explains the categories.

Where does RevisitCare fit?

RevisitCare covers point 3: it sends confirmations and reschedule options, syncs changes to your calendar, and follows up by WhatsApp until a client who missed a visit books again or opts out. Its grooming cycle tracking brings clients back on a 30, 45 or 60 day rhythm, which keeps your diary fuller before cancellations hit. Offering a freed slot to your list (points 5 to 8) is still a job for you or your booking software's waiting list. To see what lapsed clients cost you, try the revenue recovery calculator, and for the busy season read our holiday grooming pre-booking plan. You can start a 7-day free trial with 20 AI conversations, with no credit card required.

FAQs

How much notice should a UK grooming salon ask for? Many UK salons publish 48 hours. Pick a period you are willing to enforce, put it in the booking confirmation, and treat every client the same way.

Can I text clients about a free slot? Only if they have agreed to hear from you about gaps, and every message needs an easy opt-out. Plain appointment reminders are normally service messages, but an offer makes the message promotional under the ICO rules.

Should I charge for late cancellations? Many salons do. A common policy is 50% of the groom for late cancellations and up to 100% for no-shows. Make the charge clear before the client books, and decide in advance which exceptions you will allow.

What if nobody on the list replies? Move to the next three clients on the list. If the slot is still empty, post it on your own social channel if you have one, or use the time for admin or a walk-in. Do not message people who have not opted in.
