Short answer: Record each puppy's date of birth and the date of every dose, work out the next due date the same day, and send the owner one WhatsApp message a few days before it, with a simple way to book. Get the owner's permission at the first visit, and follow up once if they miss the date. The six steps below take about a week to set up.
Why do puppies drop out of the vaccine series?
A puppy needs several visits in its first months, not one. WSAVA's 2024 guidelines advise core vaccine doses every 2 to 4 weeks until the puppy is at least 16 weeks old, and then another dose at or soon after 26 weeks. That is four or five visits in about five months, often for a first-time owner who is also dealing with house training and a new routine. The first visit is usually the easy one. The third and fourth are where owners forget, travel, or think the puppy is "done". Rabies timing depends on the vaccine label and local rules, and WSAVA notes that in some countries the first dose is not given before 12 weeks, so your own protocol has to set the dates.
Step 1: Write down your clinic's puppy protocol
Before you automate anything, agree as a team on the intervals you use: which vaccine at which age, the gap between doses, and when rabies is given. Put it on one page. Every reminder will be built from this, so a vague protocol leads to wrong reminders.
Step 2: Capture the right details at the first visit
For every new puppy, record the owner's WhatsApp number, the puppy's name and date of birth, the dose given today and the next due date. Write the next date on the vaccination card too, so the owner and the reminder say the same thing.
Step 3: Ask for permission in plain words
WhatsApp's business policy says you may only message people who have given you their number and agreed to receive messages from you. Ask at the counter: "Can we send you a WhatsApp reminder before each of Bruno's vaccine dates?" Note the date and who asked. If an owner later says stop, stop for that number.
Step 4: Write three short messages
| When | Example message |
|---|---|
| 3 days before the due date | "Hi Priya, Bruno's next puppy vaccine is due on 14 Nov. Reply with a time that suits you, or tap the link to book." |
| Morning of the visit | "See you and Bruno today at 5:30 pm. Please bring his vaccine card." |
| 3 days after a missed date | "Bruno's vaccine was due on 14 Nov. A short delay is common, but please book soon so the series stays on track." |
Keep them in English and the local language your clients use most, and let your vets approve the wording of the missed-dose message. Do not give medical advice in the reminder. If an owner asks a clinical question, a person at the clinic should answer.
Step 5: Decide how the messages go out
A small clinic can start with the WhatsApp Business app and a daily list of due dates. Once you send dozens a week, the WhatsApp Business Platform with approved templates is easier, because reminders can be scheduled and replies land in one inbox. On the platform, a reminder about an existing booking is normally a utility message, which is charged less than marketing. Keep promotions out of the reminder so it stays that way. Meta's rates change, so check the current pricing page rather than relying on a number you saw last year.
Step 6: Check the overdue list every week
Once a week, pull every puppy whose next dose is more than a week overdue. Call the ones who did not reply to the WhatsApp follow-up. Count how many puppies finish the full series each month. That one number tells you whether the reminders are working.
Where does RevisitCare fit?
RevisitCare runs vaccine recall and reminders on WhatsApp and SMS, and its AI voice agent can call owners who do not reply. It connects to practice software such as AVImark, Cornerstone, Neo and ezyVet, so due dates come from your records rather than a spreadsheet. See how it works for clinics in India, read our guide to setting up AI recall, or use the revenue recovery calculator to see what missed visits cost. You can start a 7-day free trial with 20 AI conversations, with no credit card required.
FAQs
How many puppy vaccine reminders should a clinic send? One reminder a few days before each due date, a same-day confirmation, and one follow-up if the date is missed. More than that tends to annoy owners.
Do I need the owner's permission to send WhatsApp reminders? Yes. WhatsApp's business policy requires that the owner gave you their number and agreed to receive messages from your clinic. Record when and how they agreed.
Should the reminder say which vaccine is due? It can name the visit, such as the second puppy vaccine, but keep clinical detail for the consultation. Questions about side effects or timing should go to a vet or nurse.
What if the puppy is weeks overdue? Ask the owner to book as soon as possible and let the vet decide whether to restart or continue the series. Do not change the plan in the message itself.
