Short answer: Most holiday boarding problems surface on drop-off day: an expired vaccine, a family that never confirmed, or a run left empty by a late cancellation. A simple pre-arrival schedule prevents most of them. Check vaccine records about three weeks before each stay, confirm the booking a week out and again 48 hours out, and offer every cancelled run to a waitlist the same day.
Why does holiday boarding need a plan now?
US Thanksgiving is on November 26 this year, and Christmas falls on a Friday, so the peak weeks are already close. AAA forecast a record 122.4 million Americans traveling at least 50 miles over the 2025 year-end holidays (December 20 to January 1), up 2.2% on the year before.
Kennels feel this early. Thousand Islands Dog Resort, a boarding kennel open since 1973, wrote on October 16, 2026 that its busiest dates run from December 21 to January 3, and that for the past two seasons it has started turning people away in the first week of November. It asks for a $100 deposit on every Christmas-period booking.
Why do vaccine gaps cause holiday turn-aways?
Boarding facilities commonly require proof of core vaccines, Bordetella (kennel cough), and in many cases canine influenza. The American Veterinary Medical Association (AVMA) explains why: kennel cough spreads fast where many dogs are housed together, and it recommends an annual intranasal Bordetella vaccine for dogs in multi-dog settings, plus a canine influenza vaccine where the flu is known to be circulating.
Timing matters too. Lanier Animal Hospital's published boarding policy, for example, requires vaccines at least three days before a stay, recommends seven, and won't vaccinate an overdue pet on the day of admission. So if nobody notices an expired Bordetella until drop-off, the family has nowhere to leave their dog and your run stays empty.
Our advice: compare each vaccine's expiry date with the last night of the stay, not just the drop-off day. A vaccine that expires mid-stay is just as much of a problem.
What should a pre-arrival schedule look like?
| When | What to send | Why |
|---|---|---|
| At booking | Dates, deposit and cancellation terms, the vaccines you require and how to send records | No surprises later |
| About 21 days before | A check of records against the last night of the stay, and a message to anyone with a gap asking them to book their vet now | Leaves time for a vet visit before your cutoff |
| 10 to 14 days before | A second nudge only to families still missing records | Catches the ones who forgot |
| 7 days before | A request to confirm or release the booking | Frees runs early enough to refill |
| 48 hours before | Drop-off window, what to pack, medication instructions | A faster, calmer check-in |
| On any cancellation | An offer to the waitlist, first to confirm gets the run | Fewer empty nights |
Adjust the timing to your own vaccine cutoff. The point is that every step has a date, so nothing depends on memory in a busy week.
How do you refill cancelled runs quickly?
- Keep a dated waitlist. Record the exact nights each family wants, so you can match a cancellation in minutes.
- Make cancelling easy. If families can release a booking by replying to a reminder, you hear about it days earlier.
- Set a reply deadline. Offer the run to several waitlisted families at once and give it to the first to confirm.
What mistakes and limits should you know?
- Reminders don't replace a clear policy. If you sometimes accept expired records, owners learn the deadline is soft.
- Too many messages backfire. Send gap reminders only to families with gaps, and respect opt-outs and the consent rules for automated calls and texts where you operate.
- Vaccines lower risk but don't remove it. The AVMA notes that several bacteria and viruses can cause kennel cough. Don't promise owners that a vaccinated dog can't get sick.
- Don't drop the phone. An unanswered holiday enquiry can become a booking with a competitor.
Where does RevisitCare fit?

It responds to enquiries, confirms bookings, reminds clients ahead of their stay, and answers incoming calls and books 24/7, including on holidays. Boarding software can connect by CSV or API upload, and your team can step in from a human-in-the-loop unified inbox. You can start a 7-day free trial with 20 AI conversations, no credit card required. If you also groom, our holiday grooming rush plan covers the salon side of the season.
FAQs
How early should a kennel send vaccine reminders before a holiday stay? About three weeks before the stay, which leaves time for a vet visit before your cutoff. Many facilities want vaccines given several days to a week before arrival.
Which vaccines do boarding facilities usually require? Commonly rabies, the core distemper-parvo combination (DHPP) and Bordetella, with canine influenza required or recommended at many facilities. Set your own list with your veterinary partners and state it at booking.
Should we take a deposit for holiday boarding? Many kennels do for peak dates, because a late cancellation in late December is hard to refill. Keep the rule simple, put it in writing and repeat it in your reminders.
Can an AI receptionist take boarding enquiries after hours? Yes. An AI voice agent can answer calls, capture the dates and pet details, and confirm or book the stay, then hand anything unusual to your team.
